1. Technology, Workflow & MIS Management
•Own and update all workflow management systems in the MD’s office, including Highrise ERP and
automation platforms.
•Extract MIS data from ERP systems and convert it into dashboards, trackers, and management reports
— accurately and on time.
•Build and maintain presentations, data summaries, and decision-support materials with speed and
precision.
•Stay current on AI tools and productivity platforms; implement new workflows as directed by the MD.
2. Meeting Intelligence & Preparedness
•Maintain up-to-date, structured meeting minutes for every meeting the MD attends — capturing
decisions, action items, and follow-ups with full accuracy.
•Prepare a concise one-page pre-meeting brief for each upcoming meeting — covering context, agenda,
attendees, prior action points, and talking notes.
•Ensure the MD is fully reminded of all pending actions and commitments arising from previous
meetings before each new engagement.
•Be present and alert in all meetings — observing, noting, and tracking every conversation and
commitment.
3. Calendar & Appointment Management
•Own the MD’s calendar end-to-end — scheduling meetings, appointments, conferences, and travel with
prior intimation to all parties.
•Resolve scheduling conflicts independently; no gap should require the MD’s direct attention.
4. Communication & Stakeholder Management
•Coordinate with internal and external stakeholders, responding within 1 business day.
•Handle all correspondence — email, formal letters, and verbal communications — on behalf of the MD.
•Act as a poised and professional first point of contact for UHNI individuals, senior executives, and
institutional visitors.
•Manage protocol for hosting and engaging senior guests in the MD’s presence and absence.
5. Document Preparation & Records Management
•Prepare agendas, reports, presentations, and other materials required for meetings and external
engagements.
•Maintain organized, retrievable records of all documents, filings, and correspondence — physical and
digital.
•Handle statutory mailings and ensure compliance-related documents reach the right recipients on time.
6. Legal & Real Estate Document Awareness
•Develop working familiarity with standard legal and business documents used in real estate — sale
agreements, MOUs, lease deeds, and regulatory filings.
•Review and flag important clauses, deadlines, or obligations in documents routed through the MD’s
office.
•Serve as a reliable interface between the MD and the Legal/Compliance teams, with the ability to
understand and communicate document-level details.
7. Confidentiality & Integrity
•Maintain absolute discretion with all business information, personnel matters, financials, and strategic
decisions — without exception.
•Operate as a trusted custodian of the MD’s office; integrity is non-negotiable.
