Manage executive calendars by scheduling meetings, appointments, and events while resolving scheduling conflicts and prioritizing commitments
Coordinate complex travel arrangements including flights, accommodations, transportation, visas, and detailed itineraries
Screen and prioritize incoming calls, emails, and correspondence, responding independently when appropriate
Prepare and edit documents, presentations, reports, agendas, and meeting materials with accuracy and professionalism
Organize and coordinate meetings including board meetings, stakeholder meetings, and internal team sessions
Take detailed meeting minutes, track action items, and follow up on deliverables to ensure completion
Process expense reports, invoices, and financial documents in accordance with company policies
Manage office supplies inventory and coordinate with vendors for procurement needs
Greet and screen visitors, determining appropriate access to executives
Maintain organized filing systems for both physical and electronic documents
Research and compile information to support executive decision-making and special projects
Coordinate internal and external events including team-building activities, conferences, and corporate functions
Act as a liaison between executives and employees, clients, stakeholders, and external partners
Monitor project deadlines and provide status updates to keep initiatives on track
Handle confidential information with the highest level of discretion and professionalism
